Job Description: The Senior HR Operations Analyst, Total Rewards is a specialized individual contributor embedded within the Global HR Operations function, serving as the subject matter expert across Total Rewards, Compensation, and Global Benefits. This role sits at the intersection of analytical rigor and employee-facing service — responsible for the accuracy, integrity, and delivery of compensation and benefits programs that directly impact every employee’s financial wellbeing and lived experience at the company.
The Senior HR Operations Analyst, Total Rewards is not a transactional role. It requires someone who can think in systems, navigate complexity with confidence, manage sensitive data with discretion, and communicate nuanced topics — from equity vesting schedules to self-funded claims escalations — in plain, accessible language to employees at all levels. This person is a trusted partner to HR leadership, Finance, Legal, and external vendors alike, and is expected to operate with a high degree of independence, intellectual curiosity, and professional judgment.
We are looking for a Multiplier — someone who brings more capability, initiative, and strategic thinking to the role than the scope implies. If you thrive in complexity, take ownership instinctively, and have a genuine passion for the programs that shape how employees experience their total compensation — this role was built for you.
Key Responsibilities
Benefits Administration • Administer day-to-day benefits transactions including new hire enrollments, qualifying life event changes, open enrollment processing, and termination-related coverage administration • Serve as a Tier 2 point of contact for employee benefits inquiries via Workday Help, providing guidance on plan options, enrollment mechanics, and eligibility requirements • Support the annual open enrollment process by preparing employee communications, maintaining enrollment tracking, coordinating with carriers and brokers on data submissions, and conducting post-enrollment audits • Maintain and update benefits content on SharePoint, ensuring plan summaries, SPDs, SBCs, enrollment guides, and vendor contact information are current, accurate, and easy to navigate • Conduct recurring benefits data integration reviews between Workday and carrier/vendor systems, identifying enrollment discrepancies and coordinating corrections with the appropriate vendor or broker contact • Support renewals and RFP coordination by organizing vendor materials, scheduling meetings, maintaining comparison trackers, and preparing summary documents for HR leadership review
Claims & Escalations Management • Serve as the internal escalation point for complex or disputed benefits claims, working directly with employees, carriers, and brokers to facilitate resolution with empathy and urgency • Manage self-funded plan escalations end-to-end, including coordinating with the TPA (Third Party Administrator), reviewing claim details, and advocating on behalf of employees where appropriate • Serve as a liaison and mediator for fully insured plan issues, facilitating communication between employees and carriers, documenting case history, and tracking resolution through closure • Identify recurring claims or coverage issues that signal systemic gaps in plan design or employee communication, and bring data-informed recommendations to HR leadership and brokers
Leave Administration • Administer leave of absence programs including FMLA, state-mandated leave programs, company-sponsored leave, and ADA accommodations, ensuring compliance with applicable federal and state regulations • Serve as the employee and manager point of contact for leave inquiries, providing clear guidance on entitlements, documentation requirements, pay continuation, and return-to-work processes in partnership with our TPA. • Maintain accurate leave records in Workday and coordinate with payroll partners to ensure correct pay treatment throughout leave periods • Partner with Legal and HR leadership on complex leave cases, accommodations requests, and situations requiring individualized assessment or escalated judgment • Monitor evolving state and local leave legislation and proactively communicate regulatory changes that impact plan administration or employee entitlements
Wellness Programs • Administer and promote the company’s holistic wellness programs spanning physical, emotional, mental, and financial wellbeing, serving as the internal program owner and employee-facing resource • Partner with wellness vendors and brokers to manage program delivery, utilization reporting, and renewal or replacement decisions • Develop and distribute wellness communications, campaign materials, and educational content in partnership with the broader HR team and marketing or internal communications stakeholders • Track wellness program participation and engagement data, providing periodic reporting to HR leadership and recommending enhancements based on utilization trends and employee feedback
Vendor Management • Serve as the primary day-to-day relationship manager for benefits brokers and vendor partners including Alliant and GRC, coordinating service delivery, issue resolution, and ongoing program management • Review and reconcile vendor invoices on a monthly basis, validating billing against enrollment data, resolving discrepancies in partnership with Finance, and maintaining a clean audit trail • Participate in broker and vendor stewardship meetings, preparing agendas, tracking action items, and ensuring follow-through on commitments from all parties
Audit & Compliance • Own the preparation and coordination of the annual Form 5500 filing process for applicable benefit plans, working with brokers, auditors, Finance, and Legal to ensure timely and accurate submission • Conduct recurring benefits eligibility and enrollment audits to ensure compliance with plan documents, carrier agreements, and applicable regulations (ERISA, ACA, HIPAA, COBRA) • Manage COBRA administration in coordination with the COBRA administrator, ensuring timely notice issuance and accurate recordkeeping • Maintain a benefits compliance calendar tracking key filing deadlines, notice requirements, and regulatory reporting obligations; proactively flag risks and coordinate responses • Support internal and external audits as requested, preparing documentation, pulling data from Workday, and coordinating stakeholder responses
Compensation & Benchmarking • Support compensation review cycles including annual merit, mid-year adjustments, and off-cycle requests by preparing data, modeling scenarios, and maintaining compensation infrastructure in Workday • Respond to employee and manager compensation inquiries through the HR ticketing system (Workday Help), providing accurate, contextualized guidance while escalating complex cases appropriately • Assist with prevailing wage research and documentation by gathering publicly available data, organizing findings, and maintaining records in support of compliance requirements • Support the preparation and distribution of compensation-related employee communications, including merit increase letters, job change notifications, and total rewards statements

Preferred • Experience working with benefits brokers and consultants, including Alliant, Gallagher, Mercer, Aon, or comparable firms • Familiarity with self-funded plan administration, including TPA coordination and claims escalation management • Experience supporting Form 5500 preparation, COBRA administration, or ACA reporting • Exposure to global benefits administration across multiple countries or regions • Experience with equity management platforms such as Carta, Shareworks, or Equity Edge Online • Certified Employee Benefit Specialist (CEBS), Certified Benefits Professional (CBP), PHR, SHRM-CP, or equivalent certification is a plus • Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field, or equivalent practical experience
